RULES AND REGULATIONS OF THE “MEETING WITH Takanashi Kiara / Nerissa Ravencroft” COMPETITION

§ 1 GENERAL PROVISIONS

1. These rules and regulations define the terms, scope and conditions of participation in the competition for a meeting with the vtuber (hereinafter referred to as the “Competition”).
2. The competition is organized by the Klub Fantastyki “Druga Era” Association with its registered office in Poznań (ul. Kaliska 22a/23, 61-131 Poznań), the organizer of the Pyrkon Fan Convention (hereinafter referred to as the “Organizer”).
3. The substantive coordinator of the Competition is the Manga and Anime Zone operating as part of the Pyrkon Fan Convention (hereinafter the “Coordinator”).
4. The competition will be held from 03.06.2025 to 07.06.2025 until 11:59 pm (CEST)
5. The aim of the Competition is to select 20 people who will be able to participate in a meeting with the vtuber Takanashi Kiara or Nerissa Ravencroft during the Pyrkon 2025 Fan Convention. The organizers provide the participation of 10 people in each of the two meetings.

§2 PARTICIPANTS OF THE COMPETITION

1. The Competition is open to individuals with a valid ticket to the Pyrkon 2025 Fan Convention.
2. Any natural person with full or limited legal capacity may participate in the Competition. Persons who have limited legal capacity, including persons who are between 13 and 18 years of age may participate in the Competition with the written consent of their legal representative or legal guardian. In the case of participation in the competition of a minor, the consent of the statutory representative or legal guardian is also required for the processing of personal data to the extent required by participation in this competition.
3. Employees and associates of the Organizer, the Coordinator and members of their immediate families are excluded from participation in the Competition. Immediate family members are understood as ascendants, descendants, siblings, spouses and persons in an adoption relationship.

§3 RULES AND REGULATIONS OF THE COMPETITION

1. To enter the Competition, please complete the entry form available at: Nerissa Ravencroft or Takanashi Kiara.
2. The competition application must contain:

a.                 Participant’s full name,

b.                 Email address for contact purposes

c.                 Participant’s YouTube profile OR Twitter profile,

d.                 ticket number for the Pyrkon 2025 Fan Convention,

e.                 answer to the question: “Why do you like Takanashi Kiara/Nerissa Ravencroft? Why should you be chosen to meet her?”.

3. The answer can be provided in Polish or English.
4. One Participant may submit only one competition application only on their own behalf.
5. Applications that do not meet the requirements set out in the Rules and Regulations, including incomplete, incorrect ones, ones not sent on time or in a manner inconsistent with the Rules and Regulations, will not be taken into account.
6. By entering the Competition, the Participant declares that they are the author and have proprietary copyrights to the content contained in the answer to the competition question, and that it does not violate the rights of third parties.

§4 THE COURSE OF THE COMPETITION AND SELECTION OF WINNERS

1. From the correctly submitted applications, the Coordinator will select 20 Winners whose answers will be considered the most interesting, creative and original.
2. The results of the competition are decided by the Manga and Anime Zone Organizers.
3. The organizer reserves the right to reject the application after consulting with the partner, without providing a reason.
4. The list of Winners (including names and first letters of last names) will be published on the Organizer’s website: www.pyrkon.pl. If you do not wish this to be published, please indicate so on the contents entry form.

6. If it is not possible to contact the Winner or the Winner does not report to collect the prize up to 30 minutes before the program event, the right to the prize is lost, and the Organizer may award the prize to another Competition Participant.

§5 REWARD AND IMPLEMENTATION

1. The prize in the Competition is to participate in a meeting with a vtuber [Takanashi Kiara / Nerissa Ravencroft], which will take place during the Pyrkon 2025 Fan Convention on 2025-06-14 at 07:00 pm in the Manga and Anime Room 2.
2. The Organizer reserves the right to shorten, extend or interrupt the meeting if necessary.
3. The prize cannot be exchanged for a cash equivalent or for other prizes in kind.
4. The Winner cannot transfer the right to the prize to third parties.
5. The winners are obliged to follow the meeting schedule, which will be provided by the Organizer.
6. The Winner may not bring or carry items that are inconsistent with the rules and regulations, which may disrupt the course of the meeting, cause scandal, panic, prevent further running of the attraction, constitute promotional elements, self-promotional elements, etc. The decision not to allow or remove the Winner’s item referred to above belongs to the organizer and is irrevocable. In the event of a risk of disruption of the meeting or the occurrence of indecent events, the organizer reserves the right not to allow the Winner or to remove them from the meeting, even during the course of the meeting.
7. During the meeting, it is forbidden to record and take photos without the prior consent of the Organizer.

§ 7 PERSONAL DATA

1. The Organizer is responsible for the administration of personal data provided by the Participants.
2. Personal data will be processed for the purpose of organizing and conducting the Competition, as well as for marketing purposes.
3. The Organizer processes personal data in accordance with applicable law, in particular in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR).
4. Providing personal data is voluntary, but it is necessary in order to participate in the Competition.
5. Participants who provide personal data have the right to access the content of their data and, subject to the provisions of law, have the right to: a) rectify data, b) delete data, c) limit data processing, d) transfer data, e) object, f) withdraw consent at any time.
6. The Organizer will collect the following data from the Participants: a) name and last name, b) e-mail address, c) ticket number for the Pyrkon 2025 Fan Convention, d) a profile on YouTube OR a profile on Twitter.
7. The Organizer declares that the Participants’ data will not be subject to profiling.
8. The Organizer does not transfer personal data outside the country or to international organizations; in the event that personal data is processed through the Google Forms form – the data from the form is collected outside the European Economic Area – in the USA, by trusted partners providing Internet services and having appropriate security certificates (Privacy Shield). In the interest of the security of Participants’ data, we would like to inform you that the submitted application will be migrated to our server and removed from the partner’s database within 21 days from the date of submitting the application.
9. In matters concerning personal data, please contact us in the manner specified in the Privacy Policy on the Pyrkon.pl website at https://pyrkon.pl.

§ 8 COPYRIGHT

1. Sending the competition application is tantamount to a statement that the Participant has exclusive and unlimited copyrights to the submitted competition response.
2. The Participant grants the Organizer a non-exclusive, royalty-free license to use the competition response, without time and territorial restrictions, in the following fields of use: a) recording and reproducing the competition response by any technique, including printing, digital, on any media, without restrictions on the amount and volume of circulation, b) making the competition response publicly available in such a way that everyone can have access to it at a place and time of their choice, in particular on the Internet.

§9 FINAL PROVISIONS

1. The Competition Rules and Regulations are available on the website www.pyrkon.pl.
2. The Organizer reserves the right to change the Competition Regulations during its duration, provided that the changes will not violate the rights acquired by the Participants.
3. Any comments regarding the manner of conducting the Competition may be submitted from the date of commencement of the Competition until 14 days after the announcement of the results.
4. Complaints should be sent to the e-mail address: [email protected] with the note “Complaint – Meeting with [Takanashi Kiara / Nerissa Ravencroft]”.
5. Complaints will be considered within 14 days from the date of their receipt by the Coordinator.
6. The decision of the competition selection committee on the complaint is final and binding.
7. Amendments to the Rules and Regulations enter into force on the day of their publication on the website www.pyrkon.pl.
8. The Organizer reserves the right to cancel or interrupt the Competition at any time without providing any reason for it.
9. In matters not covered by these Rules and Regulations, the provisions of the Rules and Regulations of the Pyrkon Fan Convention, the Civil Code and other provisions of law shall apply.
10. Disputes related to the Competition shall be settled by a common court competent for the registered office of the Organizer.
11. The Rules and Regulations enter into force on 02.06.2025.
