TERMS AND CONDITIONS OF THE PYRKON LOST PROPERTY OFFICE

Pyrkon Fan Convention 2026

§ 1. General Provisions

  1. These Terms define the rules of operation of the Pyrkon Lost Property Office, i.e. receiving, storing and handing over items found during the PYRKON 2026 Fan Convention taking place
    in Poznań,  at the Poznań  International Fair on June 19-21 2026 (hereinafter: “PYRKON”).
  2. The Pyrkon Lost Property Office (hereinafter: the “Office”) is located in Hall 10 of the  Poznań International Fair and  operates only on the days and hours of the PYRKON, i.e. from June 19 2026, 12:00 p.m. to June 21 2026, 6:00 p.m*.*
  3. After the end of PYRKON, i.e. from 18:01 on June 21 2026. the Office ceases to function, and it will not be possible to use it.

§2. Accepting found items

  1. The Office refuses to accept for temporary storage:
    1. items found outside the PYRKON area,
    2. items found before or after the commencement of PYRKON,
    3. items classified as dangerous, flammable, corrosive, explosive,
    4. items constituting military equipment as well as documents issued by the military administration,
    5. things with properties that make their storage impossible,
    6. other things, which are prohibited to bring to the Pyrkon area according to the regulations in force at Pyrkon
    7. animals,
    8. food products,
    9. unsanitary items (e.g. dirty clothing, etc.)
    10. items obviously damaged or destroyed,
    11. items of negligible value (e.g. scraps of fabric, small elements of no use value).
  2. The person handing over the found item is obliged to complete the Found Item Report Form (Annex 1).
  3. If backpacks, bags or other closed containers are handed over to the Office, the Organiser reserves the right to inspect their content solely for the purpose of ensuring the safety of participants. A check by persons from the Office staff, in the presence of the person handing over the item, if possible.
  4. Any found documents (ID cards, driving licenses, passports, etc.) are put in locked storage which can only be accessed by the Office staff..

§3. Reporting lost items and collecting them

  1. The person (in particular the PYRKON Participant) who lost the object during and on the premises of PYRKON, may report this fact to the Office by completing the Declaration of lost items (Annex 2).
  2. If the lost item is returned to the Office during Pyrkon, the Office staff will contact the owner using the data contained in the Declaration of Lost Items (Annex 2).
  3. Items found can be collected in person in Hall 10, during the hours of the PYRKON, until the date of its completion, i.e. until 6:00 p.m. on June 21, 2026. Collecting of the found item in person by the authorised person must be confirmed by signing the document “Declaration of item collection”. The template of the declaration is attached as Annex 3 to these Terms.
  4. During the collection of the item in person during PYRKON, the Office staff will check the identity of the person during the process of handing over the item and will accept the Declaration of item collection (Annex 3 to the Regulations).
  5. After PYRKON is over, the only form of contact regarding lost and found items is electronic, i.e. via an e-mail sent to the address: [email protected], which should contain a description of the item, and, if possible, a photo (a picture of a similar object found on the Internet is acceptable).

§4. Storing and dispensing things

  1. The items found are stored at the Organiser’s expense until July 31 2026, with the exclusions indicated in points 4 and 5 of this section.
  2. After that date:
    1. items meeting the criteria of the Act on Found Items (including items with a value of over PLN 100)  will be handed over to the Lost and Found Office of the City of Poznań, at Pl. Kolegiacki 17 in Poznań,
    2. other items will be disposed of.
  1. Large props and costume elements not collected until the end of PYRKON will be disposed of due to the lack of ability to store them further.
  2. Documents not collected by the end of PYRKON will be handed over to the Police.
  3. The organiser is not responsible for items found by MTP employees during the dismantling of stalls and cleaning the area.

§5. Shipping things after PYRKON

  1. After the end of PYRKON, the person authorised to collect the item may submit a request to the Organiser for the return of the item to the indicated address, at the person’s expense and provided that the authorised person submits such a request via e-mail to [email protected] no later than July 31, 2026 by 4:00 p.m. with a parcel locker label (InPost format) attached. This provision does not exclude the rules provided for in §4 of the Regulations.
  2. The Organiser does not send items by Poczta Polska (national post) or courier delivery companies.
  3. The shipment will take place within 10 working days (working days are considered to be days from Mon-Fri) from the receipt of a valid request, meeting the requirements of point 1  of this section.

§6. Personal data protection (GDPR)

  1. The administrator of personal data is the Organiser.
  2. Personal data is processed in order to handle the process of receiving, storing and handing over found items.
  3. The data will be stored for the time necessary to achieve the purposes indicated in the Terms and in accordance with applicable laws.
  4. Data subjects have the right to access, rectify, delete, limit the processing, transfer the data, and to file a complaint with the Inspector General for the Protection of Personal Data (Prezes UODO).
  5. The detailed information clause is attached as Annex 3 to the Terms.

§7. Final Provisions

  1. By handing over any items to the Office, the person accepts these Terms.
  2. The Organiser reserves the right to make changes to the Terms, as long
    as it does not violate the rights of the participants.
  3. The Terms shall come into force on the date of publication.
  4. In matters not covered by these Terms, the provisions of the Rules and Regulations of Pyrkon shall apply.
