Rules and Regulations of the Kids’ Zone at the Pyrkon Fan Convention
RULES AND REGULATIONS FOR THE KIDS’ ZONE OF THE 2026 PYRKON FAN CONVENTION
- The Kids’ Zone is a zone of the 2026 Pyrkon Fan Convention located in the PCC Hall (level 0), designated for the needs of Children and their Guardians, operating at the hours and exact place specified in the Convention plan (available as a handout, as well as before entering the Kids’ Zone on dedicated posters). There is no additional entry fee for the Kids’ Zone.
- The rules of operation of the Kids’ Zone are set out in these Regulations.
- The Convention Organiser is represented in particular by the Zone organisers, the Convention Directors and other Volunteers (organisers, helpers) performing their tasks and duties as part of the Convention.
- Participation in the Kids’ Zone and its rooms (i.e.: in the Family Activities Corner, in the Creativity Hall and the Creativity Corner) is tantamount to accepting these Rules and Regulations, data processing rules and consent to the use of the image, both of the Guardian and the Children under their care, for marketing purposes.
- Entering and exiting the Kids’ Zone to the program events carried out in closed rooms takes place only through a marked registration gate. Emergency exit being the exception. In that case you should follow the instructions of the information and the relevant emergency services.
- The Kids’ Zone is intended for Guardians and Children, that is individual Participants, not for organised groups.
- Participants up to 12 years of age (hereinafter: Children) are admitted to the Kids’ Zone. As an exception, with the consent of the Zone Organiser and the Host, a minor over 12 years of age may be admitted to the Kids’ Zone and the program event designated therein, provided that the general conditions for participation in the Pyrkon Fan Convention (specified in the general Rules and Regulations) are met.
- Each Child brought into the Kids’ Zone receives a wristband at the entrance. The Guardian must write their own phone number on the wristband. Wristbands are also provided at the Festival Office. In special cases, determined by the Zone’s staff, the Child may receive a name sticker instead of a wristband. Each Child & Guardian couple also receives 2 stickers with the so-called ‘Pyrkon Registration Number’, which are placed on the badges of both the Child and the Guardian. The stickers are used to improve identity verification at the exit. It is possible to issue an additional sticker for the second Guardian.
- The name band/sticker may only be worn by the Child (on the hand, leg or, as an exception, part of clothing that will not be removed during the entire stay in the Zone). The name band/sticker cannot be worn by the Guardian.
- Children enter the Kids’ Zone after the Guardian has filled out the relevant registration form. Computers for Participant registration are available at the entrance to the Kids’ Zone. The form is also available on the dedicated subpage of Pyrkon Fan Convention and via QR codes in the Zone. The Guardian is obliged to sign a statement on reading and agreeing to these Regulations of the Kids’ Zone, as well as agreeing to the processing of personal data for the purposes of Pyrkon by the Klub Fantastyki “Druga Era” Association. The Organiser may also ask for a document confirming the age of the Child to allow them the use of the Zone.
- The following information is required when registering a Child:
- first and last name;
- age;
- entry dateand;
the data of the Guardians authorized to collect the Child: - the names and surnames of the Guardians;
- their contact telephone number.
The aforementioned data will be collected in order to ensure the safety of the Child and the correct identification of the Guardians entitled to collection. The data will be made available to the Kids’ Zone Organiser and Volunteers at the gate conducting verification of persons entering and leaving the Kids’ Zone. Providing the data is voluntary. Failure to provide the data, however, prevents the registration of the Child, and thus the use of the Kids’ Zone.
- The Organiser and the Volunteers may ask for the Guardian’s identity document upon the collection of the Child, in order to verify their identity. For the purposes of the Kids’ Zone, a student ID card is treated as an identity document.
- The volunteers have been trained in the basics of first aid, however, they have the right to ask the Guardian to stay in the Kids’ Zone for the safety of the Child. Only Children of Guardians who meet all the conditions described above will be admitted to the Kids’ Zone. The Guardian undertakes to personally provide information about significant health issues to the Organisers of the Kids’ Zone.
- Volunteers of the Kids’ Zone exercise general supervision over Children in the area, consisting in observing Children playing, helping in conducting workshops, playing with Children and intervening in the event of behavior that may cause an accident or a threat to safety.
- Children who are over 4 years of age and can use the toilet on their own can stay in the Kids’ Zone without their Guardians. The direct care of a younger Child or a Child unable to use the toilet is provided by their Guardian. Children are not allowed to leave the Kids’ Zone on their own. Children’s Guardians can participate in the program events and attractions of the Kids’ Zone. However, the programme event Host may express their objections and report them to the Organiser in the event of a breach of the Regulations or other comments.
- Volunteers of the Kids’ Zone may ask to comply with the “1 Child – 1 Guardian” rule (only one authorised Guardian remains in the Zone with one Child), if they consider it appropriate for the comfort and safety of other participants taking part in the attractions.
- A Child remaining in the Zone without a Guardian goes to the toilet only under the care of a Volunteer of the same sex.
- The Kids’ Zone Cloakroom is unattended, the Organisers and Volunteers are not responsible for unattended items or items lost in the Kids’ Zone. All valuable items should be handed over by the Child to their Guardians.
- Children entering the Kids’ Zone should hand over to the Guardians all things that may pose a threat, in particular: watches, jewellery, straps with sharp buckles, etc.
- Entry to the Kids’ Zone is prohibited for persons under the influence of alcohol or other intoxicants.
- A Guardian who has been found to be under the influence of alcohol and/or other intoxicants is not permitted to collect the Child from the Kids’ Zone. In such case, the Organiser contacts another Guardian (entered in the Registration Form), authorised to collect the Child from the Zone. If there is no contact with the aforementioned second Guardian authorised for collection, the Child remains in the Kids’ Zone for two hours or until it is closed, and after its operating hours – handed over to the Festival Office as well as the Convention Security Services and the police will be notified.
- The maximum period of uninterrupted stay of Children in the Kids’ Zone is 4 hours. After this time, the Volunteers and the Organiser have the right to call the Guardian to collect the Child or Children. After a break of one hour and providing the Child with a meal, the Guardian may bring them back to the Zone.
- The number of Children staying in the Kids’ Zone may not exceed 15 Children per one Volunteer. If this number is to be exceeded, the Organiser and the Volunteer (on duty at the registration gate) have the right to temporarily refuse entry to the Child.
- In consideration for the health and wellbeing of other participants staying in the Kids’ Zone, it is forbidden to accept Children who are carriers of infectious diseases or viral and bacterial infections.
- In the event of a deterioration in the Child’s health, the Volunteers and the Organiser are obliged to call the Guardians to immediately collect the Child, and suggest a visit to the medical centre.
- Children with disabilities, yet independent, may remain in the care of the Kids’ Zone. If the Child is not independent and requires assistance, the Guardian may be asked to accompany them in classes and activities.
- In the Kids’ Zone, we neither serve nor allow eating meals during the program events. It is possible for the Guardian to provide the Child with a signed water or drink bottle. We recommend taking the meal break at the designated places in the hall or the MTP Poznań Expo.
- For safety reasons, running and other sport activities within the Kids’ Zone are forbidden, unless they are a part of a program event under the supervision of a Host. Intense physical games are carried out under the care of an adult.
- If it is found that a Child participating in activities poses a threat to other Participants or violates the rules of these Regulations, Organisers may take actions to restore safety to the Kids’ Zone, which may involve reprimanding the Child or isolating them from the group. The aforementioned Child will remain in the care of a Volunteer. The Guardian will be informed of the incident and asked to collect the Child from the Kids’ Zone immediately.
- Any unsafe situation should be immediately reported to an Organiser or a Volunteer in the Zone, who will take steps to remedy such a situation.
- Any observations on the behaviour of the Participants and/or their Guardians should also be reported to the Volunteers or Organisers on duty. We ask you not to intervene on your own.
- In case of gross violation of the Kids’ Zone Regulations by the Child and/or the Guardian, the Organiser shall contact the Guardian or the Information Services (Peace Patrol), and may also undertake the following steps:
- enforcing the Child’s participation in the Kids’ Zone only under the care of the Guardian, who takes over the supervision and care of them during their stay in the Zone;
- calling the other listed Guardian to take care of the Child during their stay in the Zone;
- complete termination of the Child’s stay in the Kids’ Zone, including the return of the wristband authorizing stay in the Zone and removal from the Registration Form. In the event of failure to comply with the Organizer’s requests – support will be provided by the indicated services, including the Peace Patrol.
- Any issues not described in these Regulations will be settled on the basis of the Terms and Conditions of the Pyrkon 2026 Fan Convention. If the aforementioned Terms do not cover the issues, the decision lies with the Convention Directors and Coordinators
