Rules and Regulations of the Kids’ Zone at the Pyrkon 2025 Fan Convention
- The Kids’ Zone is an area of the Pyrkon 2025 Fan Convention in the PCC Hall (level 0) set aside specifically for the needs of Kids and their Guardians, operating at the times and location specified in the Convention schedule (available in the Convention schedule, as well as in front of the entrance to the Kids’ Zone on dedicated posters). There is no additional charge for admission to the Kids’ Zone.
- The rules of operation of the Kids’ Zone are set forth in these Rules and Regulations.
- The Convention Organizer is represented, in particular, by the Organizers of the Program Zones, the Convention Directors and other Volunteers (Organizers, Gophers) performing their tasks and duties within the Convention.
- Participation in the Kids’ Zone and its halls (i.e.: the Pyrkon Common Room, the Hall of Creativity and the Corner of Creativity), is tantamount to acceptance of these Rules and Regulations, the rules of data processing and consent to the use of the image of both of the Guardian and the Kids under their care, for marketing purposes.
- Entrance and exit from the Kids’ Zone for program events implemented in closed rooms is possible only through a marked registration gate. The emergency exit is an exception from the rule. In that case, follow the instructions of patrol services and relevant emergency services.
- The Kids’ Zone is dedicated for Guardians and Kids i.e.: individual Participants, not organized groups.
- Participants (hereinafter: Kids) of up to 12 years of age are admitted to the Kids’ Zone. As an exception, with the consent of the Zone Organizer and the Host, minors over 12 years of age may be allowed into the Kids’ Zone and the program event indicated as happening there, provided they meet the general conditions for participation in the Pyrkon Fan Convention (as specified in its Main Rules and Regulations).
- Each Kid brought to the Kids’ Zone is given a wristband at the entrance, on which the Guardian is required to write their phone number. Wristbands can also be picked up at the Convention Office. In exceptional cases, as determined by the Zone staff, the Kid may receive a name sticker instead of a wristband. Each pair of Kid + Guardian, also receives 2 stickers with the so-called “Pyrkon Registration Number“, which are placed on the badge of both the Kid and Guardian. The stickers are used to improve identification at the exit. It is possible to issue an additional sticker for the second Guardian.
- The wristband/sticker may only be worn by the Kid (on the arm, leg, or, in exceptional cases, a part of the clothing that they will have on at all times while in the Zone). The wristband/name tag may not be worn by the Guardian.
- Kids enter the Kids’ Zone after the Guardian fills out the appropriate registration form. Computer stations for registration of Participants are available at the entrance to the Kids’ Zone. The form is also made available on the dedicated sub-site of the Pyrkon Fan Convention and via QR codes in the Zone. The Guardian is required to sign a statement that they are familiar with the Kids’ Zone Rules and Regulations, accept its terms and conditions and agree to the processing of personal data for the purposes of Pyrkon by the Klub Fantastyki “Druga Era” Association. The Organizer may also ask for a document confirming the age of the Kid to enter the Zone.
- The following data are required when registering a Kid:
- name,
- age,
- entry date,
– and the data of the Guardians authorized to pick up the Kid: - names of Guardians,
- a contact phone number
– the above data will be collected to ensure the safety of the Kid and to correctly identify the Guardians authorized to pick up the Kid. The data will be shared with the Kids’ Zone Organizer and Volunteers conducting verification of people entering and leaving the Kids’ Zone at the gate. Provision of data is voluntary. However, failure to provide data makes it impossible to complete the registration of the Kid, and thus use the Kids’ Zone.
- The Organizer and Volunteers may ask for an identity document of the Guardians when picking up the Kids, in order to verify their identity. For the purposes of the Kids’ Zone, a student ID card is treated as an identity document.
- Volunteers have been trained in the basics of first aid, but they have the right to ask that, for the sake of their Kid’s safety, the Guardian remain in the Kids’ Zone. Only Kids of Guardians who meet all the conditions described above will be allowed into the Kids’ Zone. The Guardian undertakes to provide information about the kid’s significant health problems personally to the Kids’ Zone Organizers.
- Kids’ Zone volunteers provide general supervision of Kids in the area, consisting of observing Kids playing, assisting in conducting workshops, playing with Kids, and intervening in the event of behavior that could cause an accident or safety hazard.
- Kids who are at least 4 years old and able to use the toilet independently are allowed in the Kids’ Zone. Direct care of a Kid who is younger or unable to use the toilet is provided by their Guardian. Kids are not allowed to leave the Kids’ Zone area on their own. Guardians of the Kids can co-participate in the conducted program events and attractions of the Kids’ Zone. However, the person conducting the program event may express his objections and report them to the Organizer in case of violation of the Rules and Regulations or other comments.
- Kids’ Zone volunteers may ask you to follow the “1 Kid – 1 Guardian” rule (only one authorized Guardian remains in the Zone with one Kid), if they deem it appropriate for the comfort and safety of the other participants taking part in the attractions.
- A Kid remaining in the Zone without a Guardian goes to the toilet only under the supervision of a Volunteer of the same sex.
- The Kids’ Zone checkroom is unattended, the Organizers and Volunteers are not responsible for items left unattended or lost in the Kids’ Zone. Any valuable items the Kid should hand over to their Guardians.
- Kids entering the Kids’ Zone should hand over to the Guardians any items that may pose a danger, in particular: watches, jewelry, belts with sharp buckles, etc.
- Entry to the Kids’ Zone is prohibited for those under the influence of alcohol or intoxicating substances.
- A Guardian found to be under the influence of alcohol and/or other intoxicating substances is not allowed to pick up the Kid from the Kids’ Zone. In the above case, the Organizer contacts another Guardian (entered in the Registration Form) authorized to pick up the Kid from the Zone. If there is no contact with the aforementioned second Guardian authorized at registration to pick up, the Kid shall remain in the Kids’ Zone until it is closed, and after its operating hours – transferred to the Convention Office and also the Convention Security Services and the police will be notified.
- The maximum time of uninterrupted stay of Kids in the Kids’ Zone is 4 hours. After this time, the Volunteers and the Organizer have the right to call the Guardian to pick up the Kid or Kids. After a one-hour break and providing the Kid with a meal, the Guardian may bring the Kid or Kids back to the Area.
- The number of Kids staying in the Kids’ Zone must not exceed 15 Kids per Volunteer. If this number were to be exceeded, the Organizer and the Volunteer (on duty at the registration gate) has the right to temporarily refuse to accept the Kid.
- For the sake of the health of other participants staying in the Kids’ Zone, it is forbidden to admit Kids who are carriers of infectious diseases, viral and bacterial infections.
- In case of deterioration of the Kid’s health, Volunteers and the Organizer are obliged to call Parents or Guardians to pick up the Kid immediately, and suggest a visit to a medical point.
- Kids with disabilities, but who are independent, can stay in the care of the Kids’ Zone on their own. In the case of lack of independence, the Guardian may be asked to accompany the Kid in the activities conducted.
- No food is served or consumed in the Kids’ Zone, while participating in the program events being conducted. It is possible to provide the Kid with a signed bottle of drink. The recommended places to implement the meal break are designated areas within the hall and the PIF.
- For safety reasons, it is forbidden to run in the Kids’ Zone, as well as perform other sports activities that are not part of the program and supervised by the Host. Motor games take place under the supervision of an adult.
- If it is determined that a participating Kid poses a threat to other Participants or violates the rules of these Rules and Regulations, such person may take action to restore safety in the Kids’ Zone, which may involve admonishing or isolating the Kid from the group. The said Kid will remain in the care of the Volunteer, while the Guardian will be informed of the fact, and asked to immediately pick up the Kid from the Kids’ Zone.
- Any unsafe situation should be immediately reported to the Organizer or the Zone Volunteer, who will take steps to resolve the situation.
- Any comments on the behavior of Participants and/or their Guardians should also be reported to the Volunteers or Organizers on duty, you are kindly requested not to intervene on your own.
- In the case of blatant violation of the Kids’ Zone Rules and Regulations by the Kid, the Organizer shall contact the Kid’s Guardian and may take the following steps:
- complete termination of participation in the Kids’ Zone including return of the wristband authorizing to be in the Zone and removal from the Registration Form,
- participation of the Kid in the Kids’ Zone only under the care of the Guardian, who assumes supervision and care of the Kid while in the Zone.
- In case of blatant violation of the Kids’ Zone Rules and Regulations by the Guardian, the Organizer may take the following steps:
- complete termination of participation in the Kids’ Zone with removal from the Registration Form,
- Allowing the Kid to continue to participate in the Kids’ Zone only under the care of another Guardian, who shall assume supervision and care of the Kid while in the Zone.
– in case of failure to comply with the request of the Organizer – support will be provided by the designated services, among others: The Peace Patrol.
- Any issues not described in these Regulations will be decided on the basis of the Rules and Regulations of the Pyrkon 2025 Fan Convention. If the aforementioned Rules and Regulations do not include them, the deciding persons are the Convention Directors and Coordinators.
