RULES AND REGULATIONS OF PYRKON FAN CONVENTION JUNE 19 – 21, 2026

TERMS OF SERVICE As of 21.11.2025

GENERAL PROVISIONS
  1. The Organiser of the Pyrkon Fan Convention on June 19-21 2026 in Poznań (hereinafter referred to as the Convention or Pyrkon respectively) is the Klub Fantastyki Druga Era association based in Poznań (61-131)  at ul. Kaliska 22a/23, registered in the National Court Register under the number 0000207209 (hereinafter referred to as the Association or the Organiser).
  2. Each participant of the Pyrkon Fan Convention, when purchasing or receiving a ticket or a badge, accepts the Terms of the Pyrkon Fan Convention on June 19-21, 2026 (hereinafter referred to as the Terms) and undertakes to comply with its terms at the same time.
  3. The condition for participation in Pyrkon is to read the content of these Terms. Failure to comply with this obligation cannot be the basis for any claims against the Organiser.
  4. Persons who do not comply with the Terms may be removed from the Pyrkon area by the decision of the Organiser and persons acting on its behalf (including security staff and volunteers). Removal from the Convention area due to non-compliance with these Terms does not justify claiming reimbursement of the ticket price or any other costs incurred by the participant in connection with the purchase of a ticket or participation in Pyrkon.
  5. The Terms are available on the website www.pyrkon.pl, www.ebilet.pl, and at the cash registers on the premises of Pyrkon.
TIME, PLACE, TICKETS
  1. Place and date. Pyrkon takes place at the MTP Poznań Expo (also known as Poznan International Fair), at Głogowska 14 in Poznań, on June 19-21, 2026.
  2. Opening hours. The available MTP Halls and the hours during which participants can stay at the premises are included in Appendix 4 to these Terms.
  3. The validity period of the badge.  Owners of one-day badges may stay on the premises of Pyrkon from 00:01 on a given day (or from the specified time of the Convention, for Friday and three-day badges), until 6:00 a.m. the next day (or until the specified time of the end of the Convention for Sunday and three-day badges). The badge entitles its owner to enter and exit the Convention area repeatedly during the validity period of the badge.
  4. Tickets purchased online. Tickets purchased in advance are subject to mandatory exchange for a badge.
  5. Sales schedule The rules and schedule of ticket sales are set out in Appendix 2 to the Terms.
  6. Badges:
    1. Only a person with a valid badge and a photo ID issued by a public institution (in particular an ID card, passport, driver’s license, school or student ID) confirming their identity may stay on the premises of Pyrkon.
    2. Each participant is required to sign the badge and wear it in a visible place. Intentional removal, stripping or other damage to the badge will result in denied admission or removing the participant from the convention area. In the event of accidental damage or loss of the badge, you should immediately contact the ticket offices to purchase a new ticket.
    3. Persons without a badge will be immediately removed from the convention area.
  7. Identity Check:
    1. The Organiser or persons acting on its behalf (including security staff and volunteers) have the right to confirm the identity of the convention participant. Confirmation of identity is made by the holder of the badge presenting a personal photo ID. Refusal to present such document may be the grounds for the removal of the participant from the event area.
    2. It is forbidden to provide your own badge for other people to use. In the event of unauthorised badge use, the Organiser and persons acting on its behalf (including security staff) have the right to retrieve the badge and remove the person who used it, as well as the participant who provided it to the unauthorised person, from the event site.
  8. Returns. The rules for returning purchased tickets will be available when purchasing tickets at the ticket offices on the premises of Pyrkon and at www.ebilet.pl
SAFETY RULES
  1. Obligation to comply. The Pyrkon Participant is obliged to strictly follow the guidelines of the Organiser and the MTP Poznań Expo (hereinafter referred to as the Venue or MTP) in terms of order and safety.
  2. Luggage and lost items:
    1. On the premises of Pyrkon, the participant may be called to present the contents of the luggage by the Organiser or persons acting on its behalf (including security staff and volunteers).
    2. There are cloakrooms at the Venue, where you can store things on the terms indicated in separate terms and conditions.
    3. It is forbidden to leave luggage or other things unattended.
    4. The Organiser is not to be liable for unattended or lost items. 
  3. Personal transport devices. On the premises of Pyrkon, the participants are completely banned from using: bicycles, electric bicycles, self-balancing vehicles, hoverboards, scooters, electric scooters, skateboards, roller blades and roller skates or other such devices. The ban does not extend to the event staff, or assistive devices for people with disabilities, such as wheelchairs.
  4. Drones. It is forbidden to bring and use drones at the convention area. The Organiser’s drones are the exception.
  5. Animals. Bringing animals to Pyrkon is prohibited. The ban does not apply to properly marked assistance dogs and guide dogs.
  6. Damages:
    1. The Organiser is responsible for damage caused to participants under the rules provided for in the Civil Code and the Act on the Safety of Mass Events. 
    2. The Organiser shall not be liable for damage to the Participants’ persons caused by third parties or through the fault of the Participant or by equipment elements being part of the stands of external companies cooperating with the convention. 
    3. The Organiser will not be liable for any damage caused by the participants of Pyrkon. The perpetrators are fully liable for any damages. In the case of participants under eighteen (18) years of age, legal and property liability is borne by parents or legal guardians.
    4. The Organiser shall not be liable for damage to the Participants’ property caused by force majeure (e.g. fire, explosion, lightning strike, storm, flooding) or by third parties, or through the fault of the Participant. 
    5. The Organiser is not responsible for the Participants’ claims under the contracts concluded by them with Exhibitors within the meaning of the Exhibitors Terms of Service of the Pyrkon 2026 Fan Convention (including sales or service contracts, contracts for specific work, etc.).
  7. Medical assistance:
    1. Emergency medical assistance points available on the premises of Pyrkon are operated by EMTs, paramedics and a doctor in the scope of their professional competences.
    2. Health services provided on the premises of Pyrkon are limited to emergency assistance. Emergency medical services can be provided at the scene of the accident or at medical points designated by the Organiser.
    3. Persons suffering from chronic diseases, allergies or other diseases requiring continuous medication are obliged to have their own medication with them, as well as to have information regarding their health, illness or treatment difficulties with them.
    4. Identification of patients admitted to the emergency room will be based on a national identity card and/or passport and/or school ID
    5. Medical points do not keep deposits and do not take responsibility for participants’ valuables.
    6. If, during the examination of the injured party, there is a reasonable suspicion that their injury or dysfunction is related to the commission of a prohibited act, the person providing medical assistance shall notify the Organiser, and the Organiser shall notify the relevant services about the case.
    7. In justified cases, the injured participant will be transported to a public healthcare facility.
  8. Persons under 18 years of age:
    1. At admission to the venue, persons under 18 years of age are required to present the consent form signed by the parent or legal guardian to participate in Pyrkon and should keep this documents at hand at all times (even if the minor remains under the care of the parent or legal guardian). The consent form is available on the website www.pyrkon.pl [download here]
    2. Minors under the age of 13 must be looked after by an adult.
WEAPONS AND DANGEROUS OBJECTS
  1. Weapons specified by the Act. It is forbidden to bring and possess weapons at the Pyrkon venue within the meaning and wording of the Weapons and Munitions Act in force during the Convention, subject to the rules indicated below. In particular, it is forbidden to bring and possess:
    1. firearms, including combat, hunting, sports, black powder, gas, alarm and signal weapons;
    2. pneumatic weapons (ASG, paintball, air rifles);
    3. incapacitating gas throwers;
    4. white weapons in the form of hidden blades, knuckles and nunchucks, batons with an end made of heavy and hard material, baseball bats and batons with the properties of a baseball bat;
    5. bow weapons in the form of crossbows;
    6. items designed to incapacitate people with electricity (including stun guns and tasers);
  2. Firearm replicas:
    1. It is forbidden to bring and possess replicas of firearms indicated in point 22.1, as well as specimens of firearms with or without functional features. This applies to models of firearms existing and used for real purposes (hereinafter: real firearms) with the exception of replicas of black powder weapons of separate charging from before 1885, and not weapons invented for the needs of fiction (hereinafter: fictional fantasy weapons) derived from fantasy, science-fiction and pop culture.
    2. Only non-functional replicas of fictional fantasy weapons (or black powder weapons of separate charging before 1885) are allowed – being a complementary part of the costume of the Participant’s character, to which this weapon belonged, as well as props (objects) and throwing toys (NERF type, without bullets) clearly distinguished from real firearms. 
    3. Fictional fantasy weapons similar to real firearms are subject to inspection each time the Participant enters the Convention grounds, described in point 26.
    4. Replicas of fictional fantasy weapons must not contain sharp cutting edges or spikes. In case of metal edges, the allowed thickness is that of a PLN 5 coin — no less than 2 millimeters of flat or rounded edge.
    5. Bringing other props (objects) that by their appearance (including: shape, colour, material) can be confused with real firearms is prohibited.
  3. Dangerous objects. It is forbidden to bring:
    1. edged and bladed weapons used to inflict cut wounds, ending with a sharp, undulled edge (such as a sword, sabre, axe, katana, machete);
    2. sharp cold weapons used to inflict stab wounds, ending with a hard, sharp spike (such as a spear, pitchfork, katana, icepick);
    3. heavy cold weapons used to inflict blows (such as a baton, telescopic baton, tonfa, heavy war hammer, morgenstern);
    4. knives, scissors with a sharp tip, power tools, as well as heavy metal tools, i.e. hammer, wrench, crowbar, picket – except for authorised persons from the Convention staff;
    5. ranged weapons such as bows, crossbows, slingshots and others with a similar function, including spring weapons;
    6. shots, bolts and other projectiles, as well as shurikens and other throwing weapons;
    7. ammunition (including inert), flame throwers, explosives, hand grenades;
    8. toxic and malodorous substances (including pepper spray and tear gas) and flammable substances, with the exception of commonly used cosmetic products (approved for marketing, such as deodorant or hair spray) and for ignition;
    9. flares, smoke bombs and other smoke-producing objects;
    10. metal barbed wire;
    11. laser pointers;
    12. and other objects corresponding to the aforementioned by their function or physical properties.
  4. Replicas of melee weapons and other items. It is allowed to bring replicas of dangerous items listed in point 24, devoid of combat functions, including replicas of melee weapons and projectile weapons, subject to the rules given below:
    1. All brought-in costumes, props and replicas should be free of bladed edges. In case of metal edges, the allowed thickness is that of a PLN 5 coin — no less than 2 millimeters of flat or rounded edge.
    2. Ranged weapon replicas must be incapable of being fired. In the case of replicas of bows and crossbows, they must be without string.
    3. Replicas of weapons covered by the Act in the form of knuckle dusters, nunchucks, batons and baseball bats, other bludgeoning weapons (including war hammers, tonfas and morgensterns) and thrown weapons (including shurikens, kunai and arrowheads) must be made of safe materials (such as light plastic, foam, rubber, balsa, cosplayer thermoplastic materials such as worbla and derivatives).
    4. Props that are replicas of explosives and flammable materials (e.g. dynamite, grenade) cannot be realistic – they must be clearly distinguishable from the real ones by their appearance and material.
    5. In the event that a replica or other prop, in addition to the unacceptable weapons listed in point 25.3, is made of hard material (metal, stone, wood, other materials with similar properties), it is subject to inspection each time the Participant enters the Convention grounds, described in point 26.
  5. Weapons admission:
    1. Replicas of fictional firearms showing partial similarity to real weapons, as well as all other props made of hard materials (wood, stone, metal) are subject to inspection each time the participant enters the Venue at the admission point.
    2. After the regulations compliance check, the inspected item receives, if it has not already had it before, a safety marking, which must be present throughout the duration of the Convention. The item tested in this way is still an accredited fantasy weapon.
    3. If the item is found to be non-compliant with the Terms at the admission point, it cannot be brought into the Venue. If the locker room regulations allow for the storage of such an item, it can be deposited there and collected after leaving the Convention grounds.
    4. It is forbidden to remove security markings from accredited fantasy weapons. If the marking is damaged or incomplete, such weapons should be immediately brought to the admission point.
    5. Moving around the area of the Convention with accredited fantastic weapons without security marking may result in removing the participant from the area of the Convention.
    6. Accredited fantasy weapons must not be handed over to other Participants.
    7. If the Participant is unsure whether an object is eligible for admission to the Convention area, they can contact the Organiser in advance at [email protected]
  6. Aiming, shooting and fighting:
    1. During Pyrkon, it is forbidden to point props or cosplay elements that imitate weapons or other dangerous tools at another Pyrkon participant. This may only be allowed while posing for pictures, with the explicit and articulate consent of all participating parties, as long as it does not pose a threat to the staging participants or bystanders.
    2. In the case of NERF-like toys, the use of darts is possible only in the zones designated by the Organiser.
    3. Outside the zones designated by the Organiser, fighting with replicas of weapons is prohibited on the premises of Pyrkon.
COSTUMES
  1. Symbols and prohibited content. It is forbidden to wear clothes, costumes, props, as well as to present scenery or set design containing:
    1. symbols prohibited by law, including in particular the symbols of Nazi, communist, fascist or other totalitarian regimes, as well as invasion symbols used by the Russian Federation in the course of aggression against Ukraine,
    2. symbols and slogans inciting hatred on the basis of the differences described in art. 257 of the Polish Penal Code (national, ethnic, racial, cultural or religious and nondenominational), as well as sexual orientation or gender identity;
    3. offensive and profane content (in accordance with Articles 140-141 of the Petty Offences’ Code), as well as content of a pornographic nature within the meaning of Article 202 of the Polish Penal Code. 
    4. Reinterpretations and transformations of the aforementioned symbols and content (including for fan purposes, dress-up, cosplay) are also not allowed on the premises of Pyrkon.
  2. Uniforms:
    1. It is forbidden to bring, wear or present the uniforms of military, paramilitary and other uniformed units of all countries, both current and withdrawn, introduced from 1900 until the date of the Convention.
    2. It is forbidden to bring, wear and present a set of passive (protective) defensive weapons, including tactical equipment or its realistic imitations, in particular tactical vests, combat equipment, helmets, holsters, ammunitions bags, camouflages and other equipment that could be considered as uniforms of modern special services, real paramilitary units or real army.
    3. It is forbidden to bring, wear or present the uniforms of fictional formations created as part of the so-called alternative history, operating in the world presented as part of the equivalents of real historical totalitarian regimes, the promotion of which is prohibited by law.
    4. Allowed uniforms are those of fictional (fantasy and futuristic) formations apart from those listed in subsection 29.3, uniforms of professions that are not uniformed services, as well as uniforms introduced before 1900.
    5. If the Participant is unsure whether an outfit is eligible for admission to the Convention area, they can contact the Organiser in advance at [email protected]
  3. Crowd safety:
    1. Outfits, cosplay and equipment must allow for safe movement in a crowd.
    2. Outfits and cosplay must not have any sharp edges or metal spikes (including collars with pointed, metal studs) that could pose a threat of injury to the person wearing them or bystanders in the event of tripping or squeezing.
    3. The participant may not use the hall or the lecture room in a costume hindering a potential evacuation. The costume worn by the participant inside the room or hall should be smaller than the nearest emergency exit or be immediately removable or foldable by the wearer, so that in an emergency it does not hinder the evacuation of the wearer or other participants. This applies to oversized elements of the outfit, significantly exceeding the outline of the human body (e.g. wings, antlers, armour) changing the proportions of the wearer. When preparing an outfit, the Participant should take into account such requirements if they intend to move in the outfit in the indicated areas. Costumes that do not meet the above-mentioned dimensions may be presented only in the open areas of the Convention. 
    4. The participant in a costume containing movable elements or exceeding the size of safety exits such as spread wings, wide pauldrons, a coat or tail trailing on the ground, as well as other similar accessories, even if they are removable or foldable in the event of an evacuation, should be especially careful and avoid narrow or excessively crowded passages, so as not to pose a threat to other Convention participants – or, if possible, fold the wings or pick up the stretching coat if they want to access places with limited width of evacuation passages and exits.
    5. Cosplay outfits must not contain elements spreading liquid substances or emitting gaseous substances such as smoke, odour or fog.
  4. Sound and light signals:
    1. Outfits and equipment may include sound and light elements of moderate volume, intensity and frequency. 
    2. The signals transmitted cannot be the same or similar to those used by uniformed and emergency services.
    3. These components must be designed so that they can be easily switched off at the request of the Convention staff.
  5. Nudity and indecency. It is forbidden to expose the body to a degree widely considered inappropriate in public space. The participants of the Convention include children and youth, so participants in the prepared and presented outfits should take into account avoiding their demoralisation, in particular by balanced exposure of body parts and proper protection of private parts.
  6. Footwear. It is forbidden to move around the venue barefoot, except for the areas of the Convention program events allowing this type of activity  (e.g. martial arts workshops). A participant who wants to give the impression of bare feet in cosplay should use special covers (stickers) securing the sole of the foot for safety and hygienic purposes.
  7. Verification.
    1. The Organiser and persons acting on its behalf (including security staff and volunteers) may at any time refer the participant for re-verification in order to determine the compliance of the costume and equipment with the Terms.
    2. Persons referred for re-verification are obliged to immediately go to the admission point at the entrance.
    3. The Organiser and persons acting on its behalf (including security staff and volunteers) may at any time request the participant to uncover their face.
    4. Refusal to cooperate with the Organiser or persons acting on its behalf in the scope indicated above may result in removal from the Convention area.
  8. Deposit. Items not in accordance with the Convention Terms held by the event staff at admissions may be deposited in the cloakroom located in front of the entrance, as long as placing them there is in accordance with the cloakroom regulations (e.g. depositing firearms is prohibited).
SPECIAL CASES 
  1. Staff and services:
    1. Members of uniformed, law enforcement, information and emergency services in the course of their duties are exempt from the restrictions of these Terms regarding weapons and uniforms, only in the scope of the functions and tasks performed at the Convention. 
    2. Other persons serving the Convention (e.g. designated creators of program events or exhibitors) may, at the discretion of the Organiser, be fully or partially excluded from individual provisions, e.g. regarding the use of tools or stage pyrotechnics.
    3. As part of the Convention agenda, the Organiser may allow an exhibition or presentation of props or other items that participants are forbidden to bring and possess (including stage presentations, reenactment camps scenery). Such items should be specially marked and out of reach of participants, and will not be made available, rented, resold or handed over to participants. 
    4. As part of the Convention agenda, the Organiser may allow the use, including the use by Participants, of tools and other items that Participants are forbidden to bring and possess, e.g. during workshops or at the costume repair point. Tools lent for the time of the program event must not be removed from their place of operation.
    5. Any case where the Organiser allows the use or presentation of items that the Participants are forbidden from bringing must be communicated to the security and Convention staff responsible for the vicinity of the program event.
  2. Conditional admission of the Participant’s costume (cosplay competitions):
    1. In justified cases, the Organiser may allow props or costumes of participants that do not meet the requirements of these Terms for exhibition, in particular at exhibitions and costume competitions Masquerade and Own Character (i.e. only at program points approved by the Organiser).
    2. Prop or costume of the Participant, conditionally admitted to the Masquerade or Own Project competition, must be handed over to the designated organisers for the duration of the Convention. The prop or costume will be issued to the participant only for the duration of the activities related to participation in the competition (i.e. judging, photoshoot, stage performance, award ceremony). The participant may not move freely around the Convention area with the item in question, in particular they cannot leave the hall where the competition takes place. They also cannot make the element conditionally allowed available to other participants of the Convention. After its use for competition purposes, the prop, costume or object should be immediately handed over by the Participant to the person designated by the Organiser. The participant will receive the details of the process by e-mail before the start of the Convention.
    3. The submission of the prop or costume described in point 2 takes place via the application form of the competition for the Own Project or the Masquerade competition within the time limits provided in the regulations of these competitions. 
    4. Such applications will not be accepted during the event. Applications not related to competitions will not be accepted.
  3. Disputes. The final decision on bringing items that may be considered dangerous to the convention premises lies with the Organiser and persons acting on its behalf (including security staff and volunteers).
ORDER AND CONDUCT
  1. Respect. Each Pyrkon participant is obliged to treat the other participants with respect. Physical or verbal harassment may result in removal from Pyrkon, removal of the badge and reporting to the appropriate services.   2. Order. Pyrkon participants are obliged to maintain cleanliness and order in its area and in the area located between the Venue buildings.
  3. Behaviour. Pyrkon participants are obliged to behave appropriately and to comply with the decisions of the Organiser and persons acting on its behalf (including security staff and volunteers). Participants are obliged to comply with generally accepted moral norms and principles of social life, including abstaining from indecent and vulgar behaviours (in accordance with Articles 140-141 of Petty Offences’ Code).
  4. Opinions expressed:
    1. The Organiser is not responsible and does not identify with the opinions expressed by the participants (including program event creators) during Pyrkon.
    2. On the premises of Pyrkon, there is an absolute ban on political activity, in particular election campaigns and political agitation. Persons who do not comply with this prohibition will be removed from the Pyrkon area without the right to a refund of the ticket value and any other claims.
  5. Alcohol and drugs:
    1. It is strictly forbidden to bring alcohol to Pyrkon premises.
    2. On the premises of Pyrkon, there is a total ban on the consumption of alcoholic beverages and beverages that are their non-alcoholic equivalent outside the designated catering zones.
    3. On the premises of Pyrkon, there is a total ban on smoking tobacco products and e-cigarettes in the buildings, outside designated smoking areas.
    4. On the premises of Pyrkon, there is a total ban on the possession and use of all narcotic drugs and psychotropic substances, except in the situations described in previous points. In a situation where according to a medical recommendation, the Participant requires the use of psychotropic substances, they should provide an appropriate confirmation (a prescription or a doctor’s note).
    5. Persons under the influence of alcohol or other narcotic or psychotropic substances may be removed from the Pyrkon area, if the Organiser finds that their behaviour violates the provisions of these Terms of Service. In such a case, paragraph 3 of the Terms shall apply.
LIKENESS AND RECORDING
  1. Likeness.  The image of a participant of the Pyrkon Fan Convention may be recorded through photographs, film or audio recordings made by the Organiser in order to promote the Pyrkon Fan Convention. Every Participant of the Pyrkon Fan Convention through the presence at the Convention area hereby agrees to the processing of their image and to the free taking of photographs and recording of films with their participation by any entity authorised by the Organiser, free recording of their image and its free use and dissemination with the preservation and respect for the dignity of the participant, worldwide, solely for the purposes of promoting the Pyrkon Fan Convention. The Organiser’s use of the participant’s likeness for the purposes described above may only take place for a proportionate and adequate purpose, and may not take place in violation of the participant’s dignity and good name.
  2. Recordings. Without the Organiser’s consent, program events may not be streamed, recorded or distributed by any participant, for direct or indirect commercial or marketing purposes.
  3. CCTV:
    1. On the premises of Pyrkon, in order to ensure the safety of participants and the protection of property, Międzynarodowe Targi Poznańskie Sp. z o.o. carry out special supervision over the convention area or the area around the convention in the form of technical measures enabling image recording (CCTV surveillance).
    2. CCTV does not cover restrooms, places designated for smoking tobacco products and electronic cigarettes, and office rooms.
    3. The image recordings are processed only for the purposes for which they were collected.

CONVENTION AGENDA
  1. Participation in the Program:
    1. The Pyrkon program schedule published on the Pyrkon website is an indicative agenda prepared by the Organiser to the best of its knowledge.
    2. The Organiser reserves the right to change the Pyrkon program schedule on account of unforeseen fortuitous events, including force majeure. Changing the Pyrkon program schedule due to unforeseen fortuitous events, including force majeure, cannot be the basis for any claims against the Organiser. In particular, it cannot be the basis for the ticket price refund.
    3. When accessing program events, the order of applications applies, taking into account the rules of other access to program points, in particular those provided for in the Regulations for Booking Seats for Program Points, which constitutes Annex 3 to these Terms of Service.
    4. The Organiser reserves that due to the large number of participants, it may not be possible to participate in some of the program events if all seats are occupied in accordance with the Terms of Service. Inability to participate in the program event due to the lack of availability cannot be the basis for any claims against the Organiser. In particular, it cannot be the basis for the ticket price refund, either partial or in full.
    5. Participant’s entry to the designated space after the start of the program event is subject to the decision of the person designated by the Organiser. The beginning of the program event is announced by closing the entrance door to the room or in another form indicated by the person designated by the Organiser.
    6. A ticket purchased in advance provides the opportunity to book seats for program events in accordance with the rules of the Regulations for Booking Seats for Program Events, constituting Annex 3 to these Terms of Service; the availability is determined on the first come, first served basis. 
    7. Access to booking seats for selected program events is not guaranteed by the Organiser. The access to booking seats is available until the booking pool is exhausted or until 23:59 on the day preceding the day of the program event.
    8. If the participant who made such booking does not check in at least 5 minutes before the scheduled starting time, their reservation will be canceled automatically.
  2. Program event creators:
    1. Persons running program events are obliged to comply with these regulations when running the program event and to pass the room on in a non-deteriorated condition. In the event of gross damage to the room found during its release, the aforementioned persons are obliged to immediately notify the Organiser.
    2. In the event of failure to meet their obligations, persons using the admission discount for running program events are obliged to pay an admission surcharge in the amount of the discount received.
  3. Competitions and prizes:
    1. Prizes in officially scheduled contests are cash prizes, in-kind prizes and/or vouchers, which can be exchanged for selected goods at a specific stand at the convention, during the general opening hours of Hall 5 and 5A. There is no compensation for unused vouchers. Vouchers can only be redeemed during the Pyrkon 2026 Fan Convention.
    2. Persons participating in the preparation and operation of Pyrkon may not participate in contests and tournaments held during Pyrkon. In addition, representatives and employees of entities other than the Organiser holding contests and tournaments during Pyrkon may not participate in their own contests and tournaments
THIRD PARTY ACTIVITIES
  1. Copyright. On  the premises of Pyrkon, it is forbidden to reproduce and sell any copyrighted products without having the appropriate rights and licenses, and to trade in illegal copies of them.
  2. Advertising materials and unauthorised activity:
    1. All advertising materials whose presence at the convention has not been agreed with the Organiser will be removed from the premises along with the people distributing them. These persons will be charged with the cost of repairing any damage caused as a result of their actions.
    2. Conducting all commercial, service, entertainment, information and promotional activities (also applies to advertisements on vehicles), etc. on the premises of Pyrkon, including on the premises of the MTP, is possible only after obtaining the consent of the Organiser, at the stands and hours designated by it and under the conditions specified in a separate agreement and in the Exhibitors’ Regulations.
    3. In the event of non-compliance with the provisions of the above subsections of the Terms of Service, the Organiser may remove a person violating the terms without reimbursement of participation costs, as well as impose a contractual penalty in the amount of ten times the rate provided for in the exhibitors’ price list, for a standard stand of a minimum size, but not higher than PLN 10,000.00.
FINAL PROVISIONS
  1. Other regulations. Separate zones with their own rules and terms exist on the premises of Pyrkon. The rules and terms of the zones regulate their functioning to the extent not covered by these Terms of Service. 
  2. Force majeure:
    1. In the event of a fortuitous event, including force majeure, as well as other reasons that prevent the organisation of the event, for which the Organiser is not responsible, the Organiser reserves the right to cancel the event, change the date and/or place of the event, without prior notice.
    2. The Organiser is not obliged to provide any compensation or indemnity to the ticket holder, except for the refund of all or part of the amount for which the ticket was purchased for an event that was moved, cancelled or took place only in part, for reasons beyond the Organiser’s control and without its fault, in particular due to force majeure.
  3. Assurance. The Organiser ensures the safe course of Pyrkon only if all participants comply with the Terms of Service, the Act on the Safety of Mass Events and Polish law.
  4. Outstanding issues In matters not covered by these Terms, the provisions of the Act on the Safety of Mass Events and the MTP Regulations apply.
  5. Modification of the Terms of Service:
    1. The Organiser reserves the right to amend these Terms of Service by amending the Terms of Service published on the website www.pyrkon.pl for one or more of the following reasons: the need to ensure the proper course of the Pyrkon, ensuring the safety of the Participants, removing errors or omissions in the content of the Terms of Service, adapting the Terms of Service to the applicable law, or if the need to amend the Terms of Service results from other circumstances beyond the Organiser’s control, provided that these amendments are in the Participants’ favour and not relevant. Amendments to the Terms cannot violate the rights acquired by the Participants.
    2. In other cases, the Organiser has the right to change the Terms by providing the Participants with information about specific changes via the website www.pyrkon.pl at least 14 days before the date of entry into force of the amended Terms. Amendments to the Terms cannot violate the rights acquired by the Participants.
  6. Personal data. Information on the processing of personal data is attached as Annex 1 to these Terms.
